Why per-seat pricing exists

It's not a scam — it's a proxy. Software vendors need pricing that grows with the value you get, and "number of people using it" is the easiest signal to measure. For a 20-person HVAC company it's roughly fair: more techs really does mean more dispatching, more scheduling, more support burden.

The trouble is that the same model gets applied to the guy with one truck, where it stops tracking value and starts taxing headcount.

The three costs people miss

1. The helper tax. Adding a seasonal helper for the busy months often means paying a full extra seat, every month, for someone who logs in to check their schedule.

2. The tier cliff. Per-seat pricing usually rides on top of feature tiers. The feature you actually need — recurring billing, say, or a second user at all — frequently lives one tier up, so the true jump isn't one seat, it's a plan change.

3. The sales-call tax. If a pricing page says "contact us," the number is going to depend on what they think you can pay. Public pricing is itself a feature.
